Discontinuing a product

Information about the discontinuing of a product and/or packaging informs the recipient of the product information that the product will no longer be available. Discontinuing of the product is done for the product version in use by saving and publishing the termination dates for it. Usually, it is done in GS1 Synkka well in advance before the product is removed from the assortment.

Searching for products to be removed

To find products that are no longer in the assortment, but are published/live in GS1 Synkka, use the advanced filter to search for products. Using the filter Gtin, you can search with several GTINs by pasting them from ex. word separated with a comma, or from excel, by copying several codes on separate lines in the same column. With the GTIN code filter you can search for a maximum of 1-100 codes at once. 

Removing a discontinued product in the user interface

Start editing the product either by clicking the Actions button in the search results view and selecting Edit or by opening the product details and going to the Draft tab.

Update the following data fields and publish:

• Discontinued Date Time (3253) (Status view)
• End Availability Date Time (560) (Delivery Purchasing Information

view)

Save information for all parts of the package hierarchy affected by discontinuation. The product automatically switches to Discontinued status when the Discontinued Date Time date has been passed. You can either delete the product or keep it in this state.

If you have products that have not been updated, you can discontinue the products by saving tomorrow's date in the Discontinued Date Time and End Availability Date Time fields.

Removing a discontinued product through integration

Update the following information for the product in your own product information system and send the product information message to GS1 Synkka:

• EndAvailabilityDateTime
• DiscontinuedDateTime

In the message, use the command CORRECT and the same effective date (EffectiveDateTime) as in the original message.

Discontinuing of products that were removed from the selection more than a year ago

Primarily, we urge you to discontinue the products in accordance with the instructions above, in which case a product information message will be forwarded to the recipients of the product information.

However, we allow an exception procedure for products that were removed from the selection more than a year ago. You can use it for products that have been removed from your selections, but their status is still erroneously active. Such products may have a lot of errors reported by the system, which would be very laborious to fix.

When the product is removed using the exception procedure, no product information message is sent to the recipients of the product information. In this case, the recipients using GS1 Synkka through integration will not receive information about the removal of your product, so you should inform your trading partner about it in another way.

The procedure is only allowed until the end of November 2024. After this, the products must always be kept up-to-date in GS1 Synkka.
 

Withdrawal and removal of products to be discontinued

1. Use the advanced filter to search for products that have been removed from the selections.
   • Add Publication status to the search criteria and select Published as the search criteria.
2. From the search result, select individual product lines or several by clicking the box next to the Publication status heading.
3. Click on the activated Withdraw button in the top menu. This stops the transmission of product information and moves the products to Draft mode.
4. Select the product lines in Draft mode and click the Delete button in the top menu. Product information is permanently removed from GS1 Synkka.

Repeat search, withdraw and delete until you have processed all the products to delete.
