GS1 Data – Publication status

The publication status is displayed in both the list view and the editing view. You can filter the product list by publication status.

Draft

  • Once you have created a product, it remains in Draft status until you publish it. You can freely edit a product in Draft status. You can also delete a product or packaging item in Draft status. The product information has not been published and is visible only to the information provider.

Published

  • Once you have entered all the necessary information for a product in Draft status and both the product and the packaging hierarchy are free of errors, you can publish the product. A published product can be edited.
  • Publishing product information means that the product information is sent to all recipients of product information who have an active subscription to the product.

To be discontinued

  • This date informs recipients of product information in advance when the product or packaging item will no longer be available.
  • When the manufacturer or supplier stops selling a product, or a packaging item associated with a base unit is no longer available, recipients of product information must be informed so that their information remains up to date and they can find a replacement product if necessary. Discontinuation information is usually entered in advance for a published product, and the product status changes to Discontinued on the discontinuation date. The user can both edit a discontinued product and publish it again.

Discontinued

  • The product automatically changes to Discontinued status once its specified discontinuation date has passed.

Archived

  • The product automatically changes to Archived status one year after the discontinuation date or after the manually set date.
  • Archiving is the final stage of the product lifecycle. Product information messages are no longer sent for an archived product, even if the recipient’s query matches the product, and validation rules no longer apply to it. An archived product is not displayed in the product list by default, but you can display it by filtering the list.

Passive

  • A code can be marked as passive if it is no longer in use.
  • A passive code is not used in the automatic generation of GTINs.
  • The passive status does not require the storage of basic data.

Has modifications

  • Changes have been made to a published product but they have not yet been published.
