GS1 Data Tuotetiedot – Service Description for Supplier
1. Service content and purpose
GS1 Data Tuotetiedot (hereinafter the Service) is a product data service provided by GS1 Finland (hereinafter GS1) based on open GS1 standards. It enables the Supplier (hereinafter the Customer) to centrally manage, maintain and share product data with its trading partners and other recipients. The Service is used particularly for exchanging product data between retailers, wholesalers and other operators in the trade sector. The Service also serves as an excellent tool for the internal management of a company’s product information and images.
The purpose of the Service is to ensure that product data is up to date, consistent and efficiently usable throughout the supply chain.
The Service enables the Customer to:
- use a centralised channel for managing and distributing product data, reducing manual work and duplicate data management
- exchange information with trading partners more efficiently, quickly and accurately
- maintain consistent product data across different systems and channels
- share product data not only in Finland but also with selected foreign product data pools
Using the Service, the Customer can:
- create unique product identifiers (GTINs) for products
- store and maintain, among other things:
- product names, descriptions and lifecycle information
- packaging and packaging hierarchy information
- ingredient information
- dimensions, weights and logistics attributes
- product images and marketing information
- sustainability information - publish product data to selected recipients or recipient groups
- update product data centrally so that up-to-date information is transmitted to all recipients at the same time
2. Use of the Service
Use of the Service requires a valid agreement with GS1. The agreement includes the standard TOPA terms of GS1 GDSN Inc. (Terms Of Participation Agreement For Non US Trading Partners), which govern the Customer’s participation in the global product data service network and enable product data to be published internationally to other product data services. Up-to-date information on the countries to which product data can be published through the Service is available from GS1 Customer Service (asiakaspalvelu@gs1.fi).
The Customer must have an active GS1 Company Prefix, from which the Global Location Number (GLN) required for use of the Service and the Global Trade Item Numbers (GTINs) identifying products are created. The GS1 Company Prefix is issued by GS1 or by a GS1 Member Organisation in another country under a separate agreement.
The Customer may use the Service:
- through a browser-based user interface, in which the Customer can enter, edit, view and publish product data. Use of the user interface requires a computer suitable for using cloud services, an internet connection and an up-to-date web browser.
- through system integration, whereby product data is transferred from the Customer’s own system (e.g. an ERP or PIM system) through the Service to recipients via technical interfaces. Technical documentation is available on the GS1 website.
The Customer is responsible for acquiring the equipment, telecommunications and other connections, and software required to use the Service, for ensuring that they are operational, for the associated costs, and for ensuring that they comply with the operating environment requirements specified by GS1. The Customer is also responsible for instructing its own personnel in the use of the Service.
When using system integration, the Customer is responsible, at its own expense, for designing and building the integration between its own information systems and the Service, for its operation, and for the testing and implementation procedures related to the integration. The Customer may use third-party services to transfer information maintained in the Service. The Customer is responsible for the acts and omissions of such third parties as for its own.
3. Information stored by the Customer in the Service
The Customer is solely responsible for the accuracy, correctness, lawfulness and suitability for the Customer’s purposes of the information it stores in the Service. GS1 is not liable for errors, deficiencies or disruptions relating to the Service or its use, nor for any related losses or costs arising from information entered into the Service by the Customer.
The Service validates the quality of the product information stored by the Customer, and only information on products that have passed the checks performed by the system is transmitted through the Service to recipients of product information. Information on products saved as drafts or found to contain errors in automated checks is not transmitted. The Customer is responsible for correcting erroneous product information so that it passes the checks.
The Service transmits product information that has passed the checks to recipients that have submitted a request for the product information in question and that, under a separate service agreement, are entitled to view that product information.
GS1 has the right to maintain in Finland a register of the Customer’s GS1 Company Prefix and the identifiers created from it, together with key basic product information, and to submit this information to the international GS1 Registry.
The Customer retains all ownership and intellectual property rights to the information and materials entered by the Customer into the Service. GS1 is responsible for ensuring that the information provided to GS1 by the Customer for the Service and stored in the Service is kept securely and appropriately and is not used for purposes other than those permitted under the agreement.
During the term of the agreement and after its termination, GS1 has the right to collect, process and use in its business operations information or materials generated in the Service.
4. Prices and payment terms
The Customer pays an annual fee for use of the Service. The annual fee for the current year is charged upon activation of the Service. Annual fees for subsequent years are invoiced annually in January using the invoicing method selected by the Customer (e-invoice, email invoice or paper invoice). The payment term is 14 days net.
If the annual Service fee is paid by credit card, it will be charged automatically as a recurring payment each year on 2 January to the credit card used by the Customer when placing the order, unless the Customer changes the invoicing method or terminates the service agreement at least 14 days before the charge date.
The Customer must ensure that its credit card details are up to date. If the card has expired, the Customer must update the card details on the My Account page of the GS1 Online Store before the charge date.
GS1 has the right to change the annual fee for the Service. Changes in price will be notified to the Service’s main user by email at least thirty (30) days before they take effect. The current price list is available on the website (www.gs1.fi) or from Customer Service.www.gs1.fi
