Change in product representation
When the representation changes, the old representative removes the products from Synkka without editing discontinue dates. The new representative adds the products under their own GLN in Synkka.
Private label products are maintained in the same way.
When a private label product leaves the supplier's selection, proceed as follows. The product is not given discontinue dates because it continues from the recipient’s perspective. Only the information provider changes.
- Withdraw products. Recipients of product information receive a message that the synchronization is stopped.
- A draft version is created that can be removed or left in Synkka
The products must be under the GLN number of the old representative as long as there is a representation. Information is edited when the representation is topical.
Change in representation, action point for the old representative
- Search for products where the representation ends. You can use the Advanced filter search.
- Enter search criteria to find the products (e.g. Brand name)
- Add Publication status as search criteria and choose Published as status
- Choose all products by clicking the tickbox next to the Publication status column
- Click on the Withdraw button
- The Withdraw function ends all synchronization of product information and product status is changed to Draft.
- Choose all products by clicking the tickbox next to the Publication status column and then Delete
- Continue in this way until all products have been deleted
Change in representation, action point for the new representative
The new representative will set up the products under their own GLN number. The new representative will give the products the Effective Date the day on which the products are transferred to the company.
Saving product information can also be done as an excel import. This requires the new representative to receive an excel file containing product information from the old representative.
Seasonal products and substitutes
Seasonal products are only available for a limited time. Their availability is managed by start and end availability dates for seasonal products. This information allows recipients to be informed when products are available.
Referenced Trade Item GTIN information makes it easier for the trading partner to associate the new GTIN with the old product.
Discontinue the product like described earlier in this instruction. Add the replacement as a new product and enter the following information:
- Referenced Trade Item GTIN (ReferencedTradeItemGtin)
- The GTIN of the product or package to be replaced
- Referenced Trade Item Type Code (ReferencedTradeItemTypeCode)
- The replaced product
Seasonal products refer to products that are only available for a certain period of time, such as Christmas calendars. Seasonal products are maintained by updating the current product version, and updating the following dates:
- Seasonal Availability Start Date Time (SeasonalAvailabilityStartDateTime)
- Seasonal Availability End Date Time (SeasonalAvailabilityEndDateTime)
Discontinued Date Time is not used for updating availability for Seasonal products.
